3. General Guidelines
3.1 Prepare Your Presentation
The length of the presentation material should be in accordance with your time allotted. The total duration including Q&A and speaker changeover is 15 minutes for each talk. Please refer to the Final Program for actual presentation schedules. You are kindly requested to be in the presentation room at least 15 minutes before the session starts.

3.2 Determine Your Audio-Visual Needs
Each meeting room comes equipped with a laser pointer, computer, LCD projector, and screen. The computers in the meeting rooms are being provided to Windows‐based PC users.

The PC will be configured with Windows 10, and Microsoft Office 2021 Suites. (PowerPoint, Word, Excel), USB, HDMI ports. It is a higher-end laptop with Intel i7, 8GB Ram, Fast SSD Drive.

3.3 Create a Backup Copy of Your Presentation
We recommend that you bring at least 2 copies of your presentation to the meeting for backup purposes. Only thumb drives are acceptable.

3.4 Give Your Presentation
Be considerate to the other speakers and audience by staying within your allocated time. The allocated time for your presentation includes a discussion and a changeover to the next speaker. Session Chairs will hold you to the allotted time. This is essential to ensure adequate time for questions and discussion as well as adherence to the schedule. Please discuss the same material as reported in your abstract submission. At the end of the meeting, all presentation files will be destroyed.

3.5 AOGS Presenter Attendance Policy
The AOGS Presenter Attendance Policy is such that if an author presenter did not make it to deliver the oral presentation at the scheduled time, the author presenter will be considered a “No Show”.

1. BEST STUDENT POSTER COMPETITION
Students desiring to compete for the AOGS Best Student Poster must
  1. Upload their posters in MARS before 12noon SGT, Tuesday 11 July 2023.
    Judges will preview submitted posters in advance and rank them according to scientific merit and poster design. See also notes in 3.

  2. Have their poster mounted in the designated space by 12noon SGT on the day of the assigned formal in-person poster session

  3. Be at their poster for a one-hour period during the in-person (formal) poster session to avoid being considered as “No-Show” (see 2.3 in the below). But students should strive to be at their poster for as long as able for an uninterrupted presentation and to interact with the judges.

  4. Judging in the formal poster session round takes place during the formal poster sessions. Students with competitive posters are evaluated further on scientific significance and quality of the research effort, and also on the effectiveness of their complementary oral presentation.
Failure to abide by any of the above rules constitutes automatic disqualification from the competition.

2. AUTHOR PRESENTER PREPARATIONS
2.1 At the In-Person (Formal) Poster Sessions
  1. You will display your poster and be available for viewers (and judges) to ask questions about your research and how it is represented on your poster.

  2. Poster presentations will be held from Tuesday 01 August to Thursday 03 August 2023 at the Exhibition/Poster Hall. Poster boards are pre-assigned and marked with your Abstract ID. Please feel free to approach the Poster Help Desk for assistance.

  3. Be at their poster at least for a one-hour period from 3:30pm to 4:30pm during the in-person (formal) poster session.
2.2 In-Person (Formal) Poster Sessions
Tuesday 01 August 2023 Sections: AS1, SE
Wednesday 02 August 2023 Sections: AS2, BG, IG, ST
Thursday 03 August 2023 Sections: HS, OS, PS
Authors Put Up Posters Must be completed by 12noon
Posters Must Be Removed by 5:15pm or They Will be Discarded

2.3 AOGS Presenter Attendance Policy
It is such that if the author presenter is not present during the one-hour period from 3:30pm to 4:30pm, the author presenter will be considered a “No-Show”

2.4 How to Prepare Your Poster
  1. Each presenter will be provided a poster space of 2.4 high x 1m wide poster panel. Your poster should be 1 x A0 size in portrait format, measuring 1189 mm height x 841 mm width maximum. Your presentation must cover the same material as the accepted abstract.

  2. Place your Abstract ID, Abstract Title and Author Name(s) prominently at the top of the poster to allow viewers to identify your abstract easily.
    Presenter’s Name must be underlined and in Bold Letterings

  3. Author Name, E-mail and Address information must be provided in case the viewer is interested in contacting you for more information.

  4. You have complete freedom in displaying your information in figures, tables, text, photographs, etc. in the poster.

  5. A successful poster presentation depends on how well you convey information to an interested (but not expert) audience. You may wish to structure your poster by including the background of your research followed by methodology, results and conclusions
2.5 Print Out and Bring Along Your Poster to the Meeting
  1. Adhesive tapes and scissors are available at the Poster Help Desk, nearby the poster boards. If you have special needs for your poster presentation, please bring those supplies with you to the meeting.

  2. Finished Size of the Poster Should Measure:
    A0 in Portrait Format, 1189mm Height x 841mm Width

A Best Student Poster Competition entry is automatically disqualified if the digital poster is not submitted
3.1 The deadline for submitting Digital Poster is 12noon SGT, Tuesday 11 July 2023
  1. Your presentation must cover the same material as the accepted abstract
  2. Poster size should not exceed 4680 (H) x 3310 (W) pixels (equivalent to A0 in portrait format at 100 dpi).
  3. Presenters must upload PNG/JPEG poster (50 Mbytes maximum) of their presentation.
  4. Posters should be prepared according to AOGS Participation Guide for Posters.
3.2 Submit Your Presentation Files to AOGS-MARS
  1. Submission Portal Opens: 12noon SGT, Wednesday 21 June 2023
  2. Submission Portal Closes: 12noon SGT, Tuesday 11 July 2023
  3. Submitting Your Digital Poster to MARS
    • Log-in with your email and password
    • On the left menu, click on “Upload Presentation” to submit your poster)
